Apple Numbers for Mac lets you create various spreadsheets and related documents, edit them, and share them with others seamlessly. This program can also open Excel files, as well as export files.

Office for Mac that comes with an Office 365 subscription is updated on a regular basis to provide new features, security updates, and non-security updates. The following information is primarily intended for IT professionals that are deploying Office for Mac to the users in their organizations.

Note

  • Starting with Version 16.21, Microsoft Teams will be installed by default for new installations if you're using the Office suite install package. For more information, see Microsoft Teams installations on a Mac.
  • For security reason, Microsoft has deprecated the use of SHA-1. Learn more
  • Starting with the 16.17 release in September 2018, this information also applies to Office 2019 for Mac, which is a version of Office for Mac that’s available as a one-time purchase from a retail store or through a volume licensing agreement.
  • The update history information for version 16.16 and earlier also applies to Office 2016 for Mac, which is also a version of Office for Mac that’s available as a one-time purchase. Older versions up to and including 16.16 can be activated with an Office 2016 for Mac volume license. You can’t activate version 16.17 or later with an Office 2016 for Mac volume license. Spreadsheet programs are effective tools for successful businesses. These programs can significantly reduce the time needed to create reports and financial statements used to manage a business. Most spreadsheet programs have preinstalled formulas called functions that make it easy to use complex formulas and calculations when creating financial and business analyses spreadsheets. Understanding the functions available in Microsoft Excel and Apple's Numbers can help a business owner choose between the two spreadsheet programs.

Formulas

Functions are preconfigured formulas used in Microsoft Excel and Apple Numbers. Apple Numbers was updated in 2009, which increased the total number of functions available. Apple Numbers 2009 has 262 functions in 10 categories. Microsoft Excel 2010 has 400 functions in 11 categories. Categories for both spreadsheet programs include Date and Time, Text, Statistical, Financial and Engineering. In Microsoft Excel, many of the functions were updated in 2010 and improved with algorithms to add formula accuracy. Using a function in either program requires you update parts of the formula with your spreadsheet's cell addresses and data or numbers.

Comparison

The difference between the two programs starts with the type of computer being used. Apple Numbers was made specifically for use on a Mac computer, but Microsoft Excel offers versions for both Mac and Windows computers. Excel provides 138 more functions overall for use in complicated calculations compared to Apple Numbers. Excel supports advanced charting and plotting features not available in Apple Numbers, but Apple's charts look better than those created using Excel. Both programs provide templates for layout -- Apple Numbers asks you to select a template when you first open the program, while Excel does not.

Use

Apple Numbers may be hard for the die-hard Excel person to adapt to because of the difference in the Apple and Microsoft Excel user interfaces. Numbers is not as quick when number crunching functions use large data sets. However, it may be a better program for the casual or the home-based spreadsheet user. Accountants and other financial experts often choose Excel because of the versatility of the program and speed in completing complex functions and calculations.

Exporting

Both programs have named the common formulas and functions with the same name, which makes exporting Apple programs to Excel simple and easy. Tables created in Apple Numbers, however, convert to an individual worksheet in Excel when exporting between the two programs. When you typically work in Apple Numbers, but collaborate with others who use Excel, it can become inconvenient to export tables into separate worksheets. Using Excel, you can create multiple tables in one worksheet file.
